Insurance Invoice Distribution and Financial Adjustments

In September, the State Council faced a series of important challenges and adjustments in its ongoing efforts to strengthen governance. During this period, insurance invoices were distributed to all councils participating in the North Carolina State Council's insurance policy.
Alongside these efforts, the State Council identified areas for improvement in our State Council’s internal financial procedures. Recognizing the critical importance of protecting council funds, immediate steps were taken to revise and enhance the methods used to safeguard these resources. These updates demonstrate the State Council's unwavering commitment to transparency, accountability, and the secure handling of all funds entrusted to its care.

Safeguarding Council Funds: The Treasurer’s Commitment

As your State Treasurer, I am fully dedicated to protecting the financial resources entrusted to the State Council. To ensure the safety and proper management of these funds, I am actively engaged in updating our financial procedures and overseeing their effective implementation. While challenges may arise, we remain committed to addressing issues swiftly and refining our processes to drive continuous improvement in all aspects of financial stewardship.

Enhanced Check Tracking and Communication Procedures

To further reinforce the security and transparency of our financial processes, we have instituted new check tracking procedures. Any checks sent to the State Council will now be tracked throughout their processing journey. Each deposit will be registered with the mailing service and include tracking information. Although this approach results in additional costs, it is a necessary and responsible step to safeguard the funds entrusted to the State Council.

Addressing Delays and Strengthening Communication

We recognize and share the concerns regarding processing timelines. At present, several checks are en route to the State Treasurer, and I have already received status inquiries.To address these concerns, I will continue to provide timely updates as checks are received and processed. This approach will help ensure transparency and maintain the trust of our members.

Proactive Notification and Tracking Practices

Some councils may have observed that when a check is sent out by me, I follow up via email and request confirmation upon its arrival. For some time, I have implemented tracking for high-value or important checks, particularly those associated with donations and bill payments, such as ongoing payments for Helene bills. This practice helps ensure accountability that our funds are being used for their intended purpose.
